Creating a to-do list manager – how difficult can that be?

Most to-dos can be defined by simple text fragments like "Buy milk" or "Wash car". At some point in the future, they will hopefully be completed. Hence, a to-do list manager only needs to manage lists of small text fragments with a checkbox. It is as simple as that. Or is it?


In a way we actually believe it is. There is only one problem. And we actually mean it, there is really only one problem: Scalability. As Wikipedia puts it:

"Scalability is a desirable property of a system, …, which indicates its ability to either handle growing amounts of work in a graceful manner, or to be readily enlarged."


A simple to-do list works when there are only up to 20 or maybe 30 to-dos. But that is not our reality. We have hundreds of to-dos, and we need to decide every day, which ones to do and which ones to defer.

Things is designed to make it easy for you to record those decisions, and then to focus on the to-dos you have chosen to work on now. This is accomplished by three main feature sets:


Focus Lists. For every to-do, you can explicitly state what your current level of commitment is, together with a tentative time frame, by assigning it to lists like "Next", "Someday", "Scheduled", or "Today".

Tagging. Tagging lets you add meta data, that will help you to reduce long lists of to-dos to manageable sizes. (As a GTD lover, you may use this meta data to add contexts, priorities, and time or energy requirements.)

Projects and Areas of Responsibility. You can organize your to-dos into projects and areas of focus, which can be activated or deactivated as you see fit.
